Job Vacancy – Office Manager

The Embassy of the Republic of Lithuania to the Arab Republic of Egypt is seeking for an experienced Office Manager to join the administrative team. The coefficient for the official salary is from 4,42.

Selection Criteria:

  • Minimum Secondary Education
  • Basic computer literacy (MS Office, Internet Explorer)
  • Holding a valid and appropriate driving license which gives a right to drive Embassy‘s vehicles in Egypt
  • Good organizational skills, the ability to take direction, respond to challenges and meet deadlines
  • Good knowledge of work and fire safety requirements
  • Be acquainted with the legal acts of the Republic of Lithuania regulating the activities of the public service, diplomatic service, diplomatic mission, know the legal acts necessary for the performance of the functions of an office manager
  • Person's credibility has not to rise question

Other advantages:

  • Experience with logistics tasks (visa, permits, customs clearance, …)
  • An understanding of ethical work practices, information privacy, confidentiality and security principles
  • Responsible and punctual
  • Fluent in Arabic and good speaking and writing in English
  • Previous professional experience with international organizations/ embassy could be an asset
  • Experience driving 4X4 wheel drives
  • Good knowledge of driving rules and regulations; skills in minor vehicle maintenance and repairs
  • Willing to accommodate different tasks in a flexible way, also regarding working hours and travelling to the field of operation
  • Military status – exempted or completed

Duties:

  • Ensures the maintenance and operation of the Embassy’s buildings (including the residence), premises, engineering systems, information technology equipment, alarms, organizes its’ repair
  • Performs minor repairs
  • Manages and takes care of the Embassy's assets, prepares reports
  • Organizes public procurement of goods, services and works, provides reports
  • Is responsible for the purchase, use, safekeeping and storage of the Embassy’s inventory
  • Prepares and executes service contracts, manages invoices related to economic activities
  • Provides to the Embassy and its employees the necessary tools and equipment needed for work
  • Takes care of the cleaning and maintenance of the premises and territories of the Embassy
  • Assists in organizing the transportation of diplomatic mail and diplomatic cargo
  • Contributes to the organization of the Embassy's events and receptions
  • Drives vehicles of the Embassy when it is necessary for the performance of direct functions
  • Performs other non-permanent official assignments of the Head of the Representation
